Enrollment Agreement and Terms of Payment

Section 1 : Enrollment Agreement
1.1 Enrollment Fee Payment and Acknowledgment
a. Payment for enrollment constitutes acceptance of this agreement’s terms and conditions, including the fees' non-refundable nature.

1.2 Commitment to Attend and Financial Responsibility
a. Enrollment signifies a commitment to attend and pay for the program. Noncompliance may result in disciplinary action or enrollment termination.

1.3 Parental Responsibilities
a. Payment for enrollment confirms agreement with the terms and conditions in this agreement and the Parent’s Agreement, which outlines parents' and guardians' responsibilities in supporting their child’s academic progress.

1.4 Learning Environment
a. The agreement and related policies strive to maintain a safe, supportive, and inclusive learning environment for all students while committing to high-quality education and fostering enrolled students' academic and personal growth.

1.5 Non-Payment Consequences
a. Students will be prohibited from attending classes until all outstanding fees are paid.

1.6 Termination of Enrollment
a. Upon termination of enrollment, all fees and payments made are non-refundable.
Section 2: Terms of Payment
2.1 Payment Deadlines and Requirements
a. Full payment must be made by the due date indicated in individual emails.
b. Upon payment, parents or guardians must email proof of transfer and passport photos for both children and parents.

2.2 Enrollment Confirmation and Space Reservation
a. Enrollment requires submission of payments and documentation.
b. To reserve a space, parents or guardians must complete the necessary steps within one month of the transfer in order, as required by regulations.

2.3 Agreement of Limited Space
a. As this program allows a maximum of 15 students only, The family who enroll first have the right to choose the type of room.
b. Only the case of over 16, when tuition has been transacted, Parents will get full-refund.

2.4 Non-Refundable Fees
a. All fees, including enrollment, tuition are non-refundable and non-creditable unless explicitly stated otherwise in the Enrollment Agreement.

2.5 Discounts
a. Policy upon the presentation via Email.

2.6 Agreement Acceptance
a. Payment signifies agreement to the Soul kids camp Parents Agreement and Enrollment Agreement without the need for a signature, as the agreements are legally binding upon payment.
A Quick Reminder:
Thank you for preparing your children on time. It is a good idea to plan to be ready for the class on time so other students and teachers do not wait for the class.
By enrolling your child or children, you confirm they have no history of behavior problems.
Our school is strictly Sentient Vegan; please be certain children do not bring anything in conflict with this on camp site. Thank you(no meat, egg, no milk, no snack please).
We provide 2 times of swimming class in a week during camp overlooking the rice fields. Please send your children with the required swimming equipment (towels, bathing suits, sunscreen if needed, and floaties for children who can not swim independently). We will swim as scheduled on Tuesday and Thursday. There is a teacher always staying with them.
Vegan Snack and Lunch Program are provided; please share through registration form about the condition of your child or children if they have an allergy or irritation.

General
  1. All children can bring their own notebooks, pencils/erasers, and coloured pencils. We are not responsible for any lost, damaged or misplaced properties of the children, including swimsuits, jackets, etc. Please do not allow children to bring toys because this usually results in a heartbroken, or being unable to borrow at all.
  2. Our camp environment is natural. This means the kids may fall or be exposed to bugs (though we take preventive steps towards mosquito populations living around). We believe it is important for children to learn to navigate reasonable risks and the camp environment reflects this.
  3. Photos/Videos
  4. The parents get photos or videos through Kakaotalk during the program. The camp may use photos of projects and programs for blogs and social media, including photos containing images of students.
  5. Student Outfits
  • Considering the active nature of the camp, we recommend that female students wear pants/shorts/leggings instead of dresses and skirts.
  • For extra activities (non-academic), students are responsible for any requested outfits, as the camp will not provide them.
  • Students must have to be clean, bring spare clothes, a raincoat (if they want), an umbrella, which can be kept at camp.
  • Camp is not responsible for lost or damaged shoes/clothes/accessories

  1. We serve only healthy vegan meals. Food is mostly organically grown and GMO-free. Children cannot bring meat products, fish and eggs. Please be sure that when children bring their snacks, they are healthy and well-balanced. It’s tough for the other children when they see others getting candies, bubblegum, chocolate spreads and sprinkles, junk food, and not eating healthy foods like they are. It is difficult for the teachers and unfair to others. All children should be equally enjoying healthy foods while at camp. For example, please have no oreo type cookies, chocolate sandwiches, potato chips, or cereals.
  2. We request that parents whose children have any kind of allergy to certain foods should bring their food
  3. We do not provide lunch for parents. The food for lunch is only for students and main teachers at the hotel.
  4. Each child should bring a water bottle to camp. Please be sure they bring them home and wash them regularly to keep them clean.
  5. No white sugar-based snacks, bubble/chewing gum, or snacks containing monosodium glutamate are allowed in the camp area.
  6. It is usual for children to feel hungry around 3 pm due to the intensity of their daily activities. Students can bring fruit or an extra homemade snack if needed. Let’s teach our children to consider their friend’s feelings, whether hungry or not, when bringing their extra snacks, especially after school (to be consumed on school grounds). The others will also want to have some as they are just children. How do we handle this fairly and kindly? We are open to suggestions on this topic. It’s unkind to bring snacks for your children to only share with "special" friends.
  7. Those parents who want their children to brush their teeth after meals should bring their toothbrushes and toothpaste.
Health code and sick policy
  1. Due to the nature of the camp, parents should understand that accidents may happen. We provide our First Aid Kit. If there is something extra parents would like to provide for their child (specifically First Aid supplies for emergencies or accidents), please bring it to the camp and leave it in your child’s backpack. Please notify and instruct the teacher with a written note as to how you would like products to be administered.
  2. The camp does not provide Health and Accident Insurance for children. It is advisable for parents to have their own.
  3. Skin Conditions
  4. If your child has a rash or wound or marks on their skin that is not normally there, please bring a letter from a Dr. that says the child can come in contact with other people without spreading this condition.
  5. If you already know the condition and want to send your children to camp, please be sure the infection is completely covered and notify the teacher. Please understand we have to prevent spreading.
  6. Our school only supplies and treats children with homeopathics, when treatment is given orally. In the case of an emergency, we will take the children to the nearest hospital at our discretion. Due to safety regulations, we cannot administer allopathic medicines or antibiotics to students. At this point, with our small number of children, it is not possible for us to hire a nurse. We will do our part here at school to minimize the spread of illness by encouraging lots of hand washing and nose blowing (and then more hand washing) and sending children and staff home when they are ill. We ask that you support us by following the illness policy listed below so that we minimize the spread of illness to our students and our staff. Our staff must remain healthy so that they can be here to help the children settle in and create effective classroom communities. Should children become ill at school, we will do our best to make them comfortable, but please remember that we are not staffed to care for ill children in our classrooms or the office. We thank you, in advance, for allowing your child to stay home and rest when they are ill.

Illnesses
Colds, flu and other contagious diseases are severe issues in a camp environment because they can spread rapidly. Parents are asked to keep children home when they show symptoms of illness. If your child exhibits any active symptoms of illness, he/she will not be admitted to the camp, both for the child’s comfort and to minimize the spread of illness to other children in the camp.
The following tips help you decide if your child should be kept home from school:
  • How does your child feel? Variations from normal behavior are the best indicators of illness. You know your child best; trust your instincts.
  • Fever. If your child has a fever at night, he/she must not attend camp the next morning. Temperatures are lower in the morning, and a fever may occur again in the afternoon. You are required to wait 24 hours after the fever breaks before sending your child back to camp.
  • Upset stomach. If your child vomits during the night, do not send him/her to camp the next day. You are required to wait 24 hours after a child vomits before sending your child back to camp.
  • Diarrhea. Loose and frequent stools have many causes. Only send a child to camp once bowel movements are normal.
  • Cold. Be sure a child knows how to handle tissues for coughing, sneezing and nose blowing, and practice good hand washing techniques. Your child may go to camp as long as he or she does not have a fever or discomfort. If symptoms are severe (e.g., persistent cough or severe runny nose with thick mucus that will consistently interrupt their work or rest time), please keep your child at the hotel so he/she may rest and recover.
  • Earache. Never ignore an earache. Contact your physician and keep your child at home.
  • Strep Throat. A strep infection requires a doctor’s visit and medication. Strep can lead to a more serious illness if not properly treated. The child must be on medication for at least 24 hours before returning to camp.
  • Contagious Condition. Head lice (see below), scabies, impetigo (or any other skin condition), chicken pox, strep throat, measles, rubella, mumps, whooping cough, meningitis and some forms of conjunctivitis (pink eye) are contagious. They must be properly treated and no longer contagious before your child may attend camp. Please notify the camp if your child has a contagious condition so other parents can be alerted.
Technology
  1. The camp will allow cell phones and internet access for educational purposes and classroom projects only. Teachers have the right to monitor the student’s internet and computer/ cell phone usage in camp.
  2. Using mobile phones for non-classroom-related activities during school hours is forbidden (including during snack time and lunch break).
  3. Students can ask to call their parents when needed.
